WALES DIVISION
Minutes of the meeting of the Executive Committee of the Wales
Division of the Career Development Group held at Gregynog on
Tuesday 17th June 2003.
Present: Neil Smyth (Chair), Siân Bowyer (minutes), Helen
Thomas, Alison Williams, Michael Lowe, John Wright, Kate Reeves
and Huw Evans (CILIP Wales, observer)
1. Apologies: Katherine Stock, Rebecca Phillips and Lisa Crute.
2. Minutes of the previous meeting
These were accepted as a true record of the previous meeting.
3. Secretary's report
The Secretary had nothing to report.
4. Treasurer's report
The Treasurer's responsibilities were officially transferred
to Helen Thomas, who received a copy of the Treasurer's guidelines.
It was noted that a divisional expenses form was required.
It was also suggested that we create a database, e.g. access,
where we could list delegates and which might facilitate administrative
work, e.g. invoices.
£150 capitation was received recently for the year.
The Career Development Group at national level now appears to
be on a sounder financial footing.
It appears there is no set divisional fundraising target this
year.
Current divisional balance is £1264.
5. RLO report
Alison Williams (South Wales) attended an RLO training day
in London last November. A 'Guide to Chartering' course was
held in Cardiff on 30 April; the speakers included Susan Kay
(CILIP), Chris West (UW Swansea) and a couple of recently chartered
librarians from Cardiff. Alison hopes to arrange another formal
event at the beginning of next year with and additional informal
session in between.
Three-monthly statistics regarding the RLO work are sent to
Tom Relph.
In the absence of Jayne Lewis there was no report from North
Wales. It is assumed that the chartering event, scheduled for
29 July, is still going ahead.
6. PPO report
There was no official report. It was noted that the committee
should delegate more publicity work to Katherine. Those organising
courses were reminded to contact Katherine who could publicise
events. It was suggested that Katherine contact Huw Evans for
advice on postings.
Neil reported that the publications aspect of the Career Development
Group is being wound down. The location of the divisional publications
box is unknown.
Rowena Macrae-Gibson (R.Macrae-Gibson@lse.ac.uk) is the Membership
and Marketing Officer on National Council; her responsibilities
include the Visual Identity Guidelines.
This change in title and responsibilites was discussed; also
options for an alternative title for Publications and Promotions
Officer within the Wales Division.
Additional publicity material, produced by the Career Development
Group and the Division, is required by September in time for
the start of the academic year.
7. Divisional web pages
Work on the divisional web pages has been delayed by technical
problems which should, hopefully, soon be resolved. In the meantime
Paula Younger can be contacted regarding the web pages; she
has recently updated the committee contact details and is looking
to alter the divisional map.
It was agreed that the Wales divisional pages should include
details of the committee, events and the divisional newsletter.
It appears that there are intentions to develop a password
protected area for groups on the CILIP website in the future.
A password protected area already exists on the Career Development
Group website, which includes National Council papers.
8. Divisional newsletter
It is thought Amanda will be on maternity leave until the
autumn.
John briefed the committee on ideas for the next issue which
should be ready by early autumn.
The format of the forthcoming newsletter was discussed - A4
(folded A3) was favoured by the committee.
9. CDG Council
Neil attended National Council in May on behalf of the Wales
Division. All the Council papers are available on the Career
Development Group website.
The Career Development Group Conference will be held in London
this year. Neil raised the issue of a National Conference coming
to Wales and that this could be an area for collaboration with
CILIP Wales. The consensus of the committee was that the Wales
Division is unable to hold such an event during forthcoming
years as other major events in the library and information profession
are scheduled in Wales around 2005-2006.
10. CILIP Wales report
Michael Lowe attended the CILIP Wales Executive Committee
meeting on 22nd May in Aberystwyth on behalf of the Wales Career
Development Group. A copy of his report is attached to the minutes
of this meeting.
Members of the committee were asked to think of projects which
could be supported by CILIP Wales, which is currently in a position
to offer financial assistance to the various library groups
in the region.
11. CDG Wales events 2003-2004
Past events:
21 February : National Assembly for Wales, Cardiff. Meet the
CILIP Chief Executive, Bob McKee. This event was well attended;
two reports were written, one published in divisional newsletter
12 March : Library and Information Conference Wales 2003, Hotel
Metropole, Llandrindod Wells. AGM and official launch of Wales
Division Career Development Group.
9 April : Affiliated Members AGM (joint event). Evaluation
forms indicated that it would be better to hear Marion in the
autumn though some wanted to be part of the consultation.
30 April : Cardiff University, registration course (see RLO
Report).
Forthcoming events:
16 July : Marketing with Antony Brewerton; received a number
of bookings.
17 July : Deep web with Paula Younger; several bookings, catering
arrangements discussed
?29 July : North Wales chartering event
Future events:
- Scenario planning with Antony Brewerton, North Wales (with
North West Division?)
- Student 'roadshow', Aberystwyth in the autumn (date to be
confirmed)
- a social inclusion event could be organised with CILIP in
North Wales
- Chris Armstrong has agreed in principle to organise another
web publishing course in Aberystwyth
The importance of organising events in North Wales was stressed
as a means for raising the profile of the Group in this part
of the country and encouraging more members from this area to
join the committee.
Events are currently budgeted at around £100
12. Divisional evaluation forms
Due to a shortage of time the committee was unable to discuss
the format and content of the divisional evaluation form. This
will be discussed at the next meeting.
13. CDG Wales archive
Siân has a box of papers pertaining to the South Wales
Association of Assistant Librarians & Career Development
Group which she inherited from her predecessor. The committee
agreed to dispose of the following:
- old stationery (recycle)
- 1998 promotional calendar (recycle)
- lists of members and non-members (shred)
The following items will be kept:
- annual reports, two copies (recycle remainder)
- Impact under two years (recycle remainder)
- general CDG leaflet (5/2000) (recycle)
- publications catalogue with LA logo (recycle)
14. Students
The student 'roadshow' was briefly discussed. Huw explained
that there are some changes to the event this year - possibly
a whole day with various speakers. It is hoped that an evening
quiz, in which the Career Development Group has traditionally
participated, will be included as part of this introductory
event.
A date is as yet unknown.
15. AoB
Welsh Books Council: Siân will be representing the Career
Development Group at the next meeting in Aberystwyth on 26th
June.
Development Plan: due to a shortage of time the committee
was unable to discuss this point.
Next meeting: Friday 18th July, National Library of Wales,
Aberystwyth.

3. Adroddiad yr Ysgrifennydd
Nid oedd gan yr Ysgrifennydd unrhyw beth i'w adrodd.
4. Adroddiad y Trysorydd
Trosglwyddwyd cyfrifoldebau'r Trysorydd yn swyddogol i Helen
Thomas, a dderbyniodd gopi o ganllawiau'r Trysorydd.
Nodwyd bod angen ffurflen gostau rhanbarthol. Awgrymwyd hefyd
ein bod yn creu cronfa ddata, e.e. access, ble gallwn restru
enwau'r rhai sy'n mynychu cyrsiau er mwyn hwyluso'r gwaith gweinyddol,
e.e. anfonebau.
Derbyniwyd £150 o drethiant yn ddiweddar ar gyfer y
flwyddyn hon. Ymddengys fod y Grwp Datblygu Gyrfa yn genedlaethol
mewn cyflwr ariannol fwy cadarn.
Ymddengys nad oes targed codi arian ar gyfer y rhanbarth eleni.
£1264 yw'r balans rhanbarthol presennol.
5. Adroddiad SCC
Mynychodd Alison Williams (De Cymru) ddiwrnod hyfforddi SCC
yn Llundain mis Tachwedd diwethaf. Cynhaliwyd cwrs 'Guide to
Chartering' yng Nghaerdydd ar 30 Ebrill; roedd Susan Kay (CILIP),
Chris West (Prifysgol Abertawe) a chwpl o lyfrgellwyr o Gaerdydd
sydd wedi siartro'n ddiweddar ymhlith y siaradwyr. Gobeithia
Alison drefnu cwrs ffurfiol arall ar ddechrau'r flwyddyn nesaf
ynghyd â sesiwn anffurfiol ychwanegol yn y cyfamser.
Anfonir ystadegau tri-misol ynglyn â gwaith y SCC at
Tom Relph.
Yn absenoldeb Jayne Lewis ni chafwyd adroddiad o Ogledd Cymru.
Tybiwn y bydd y cwrs siartro a drefnir yno ar 29 Gorffennaf
yn mynd yn ei flaen.
6. Adroddiad y Swyddog Cyhoeddusrwydd
Ni chafwyd adroddiad swyddogol. Nodwyd y dylai'r pwyllgor
drosglwyddo mwy o'r gwaith cyhoeddusrwydd i Katherine. Dylai
aelodau'r pwyllgor sy'n trefnu cyrsiau gysylltu â Katherine
er mwyn iddi hysbysebu digwyddiadau. Awgrymwyd y gallai Katherine
gysylltu â Huw Evans am gyngor pellach.
Adroddodd Neil bod gweithgarwch cyhoeddi'r Grwp Datblygu Gyrfa
yn dirwyn i ben. Nid oedd unrhyw un yn gwybod beth oedd hanes
y bocs cyhoeddiadau rhanbarthol.
Rowena Macrae-Gibson (R.Macrae-Gibson@lse.ac.uk) yw'r Swyddog
Aelodaeth a Marchnata ar y Cyngor Cenedlaethol; mae'r Canllawiau
Adnabod Gweledol yn rhan o'i chyfrifoldebau.
Trafodwyd y newid yma yn nheitl y swydd a'r cyfrifoldebau;
yn ogystal ag opsiynau am deitl arall ar gyfer Swyddog Cyhoeddiadau
a Chyhoeddusrwydd o fewn Rhanbarth Cymru.
Bydd angen i'r Grwp Datblygu Gyrfa a'r Rhanbarth gynhyrchu
deunydd cyhoeddusrwydd ychwanegol erbyn mis Medi ar gyfer y
flwyddyn academaidd newydd.
7. Tudalennau gwe ranbarthol
Gohiriwyd gwaith ar y tudalennau gwe ranbarthol yn dilyn problemau
technegol a ddylid eu datrys cyn bo hir. Yn y cyfamser gellir
cysylltu â Paula Younger a lwyddodd i ddiweddaru manylion
cyswllt y pwyllgor eisoes a sydd wrthi'n ceisio newid y map
rhanbarthol.
Cytunwyd y dylai tudalennau gwe Rhanbarth Cymru gynnwys manylion
am y pwyllgor, digwyddiadau a chylchlythyr rhanbarthol.
Ymddengys fod bwriad yn y dyfodol i ddatblygu adran a ddiogelir
drwy gyfrinair ar gyfer grwpiau ar safle gwe CILIP. Mae adran
a ddiogelir drwy gyfrinair eisoes yn bodoli ar safle gwe y Grwp
Datblygu Gyrfa, sy'n cynnwys papurau'r Cyngor Cenedlaethol.
8. Cylchlythyr rhanbarthol
Mae'n debyg y bydd Amanda i ffwrdd ar wyliau mamolaeth tan
yr hydref.
Cafwyd amlinelliad gan John ynglyn â syniadau ar gyfer
y rhifyn nesaf a ddylai fod yn barod erbyn dechrau'r hydref.
Trafodwyd fformat y cylchlythyr nesaf - roedd y pwyllgor yn
ffafrio A4 (A3 wedi'i blygu).
9. Cyngor GDG
Cynrychiolwyd Rhanbarth Cymru yng nghyfarfod mis Mai o'r Cyngor
Cenedlaethol gan Neil. Mae'r cyfan o bapurau'r Cyngor ar gael
ar safle gwe y Grwp Datblygu Gyrfa.
Cynhelir Cynhadledd y Grwp Datblygu Gyrfa yn Llundain eleni.
Cododd Neil y pwynt ynglyn â chynnal y Gynhadledd Genedlaethol
yng Nghymru ac awgrymodd y gallai hyn fod yn fenter i gydweithio
â CILIP Cymru. Teimlai'r pwyllgor na allai Rhanbarth Cymru
gynnal digwyddiad fel hyn yn ystod y blynyddoedd nesaf oherwydd
cynhelir digwyddiadau mawr eraill ym maes llyfrgellyddiaeth
a gwybodaeth yng Nghymru yn 2005-2006.
10. Adroddiad CILIP Cymru
Cynrychiolwyd Grwp Datblygu Gyrfa Cymru yng nghyfarfod o Bwyllgor
Gwaith CILIP Cymru yn Aberystwyth ar 22 Mai gan Michael Lowe.
Amgaeir copi o'i adroddiad gyda chofnodion y cyfarfod hwn.
Gofynnwyd i aelodau'r pwyllgor feddwl am brosiectau y gellid
derbyn cefnogaeth ar eu cyfer gan CILIP Cymru, sydd mewn sefyllfa
ar hyn o bryd i gynnig cefnogaeth ariannol i'r amryw grwpiau
llyfrgell o fewn y rhanbarth.

Gwesty'r Metropole, Llandrindod. Cyfarfod Blynyddol a lansiad
swyddogol Grwp Datblygu Gyrfa Rhanbarth Cymru.
9 Ebrill : Cyfarfod Blynyddol Aelodau Cyswllt (digwyddiad ar
y cyd). Nodwyd yn rhai o'r ffurflenni gwerthuso y byddai'n well
clywed Marion yn yr hydref er bod rhai'n awyddus i fod yn rhan
o'r broses ymgynghori.

y SCC).

y rhan yma o'r wlad ac er mwyn annog mwy o aelodau o'r ardal
yma i ymuno â'r pwyllgor.
Ceisiwn wario oddeutu £100 ar bob digwyddiad ar hyn
o bryd.
12. Ffurflenni gwerthuso rhanbarthol
Oherwydd prinder amser nid oedd cyfle i'r pwyllgor drafod
fformat a chynnwys y ffurflen gwerthuso rhanbarthol. Trafodir
hyn yn ystod y cyfarfod nesaf.
13. Archif GDG Cymru
Etifeddodd Siân focs o bapurau'n ymwneud â Rhanbarth
De Cymru y Gymdeithas Llyfrgellwyr Cynorthwyol a'r Grwp Datblygu
Gyrfa gan yr Ysgrifennydd blaenorol. Cytunodd y pwyllgor i waredu'r
papurau canlynol:
- hen bapur ysgrifennu (ailgylchu)
- calendr 1998 (ailgylchu)
- rhestri aelodau a'r rhai nad ydynt yn aelodau (rhwygo)
Cedwir yr eitemau canlynol:
- adroddiadau blynyddol, dau gopi (ailgylchu'r gweddill)

14. Myfyrwyr
Trafodwyd 'sioe deithiol' y myfyrwyr yn fras. Eglurodd Huw
fod rhai newidiadau i'r digwyddiad eleni - mae'n bosib y cynhelir
ef drwy'r dydd a cheir amryw o siaradwyr. Gobeithir trefnu cwis
gyda'r nos, y mae'r Grwp Datblygu Gyrfa wedi cymryd rhan ynddo
o'r blaen, fel rhan o'r digwyddiad yma.
Nid oes dyddiad eto.
15. Arall
Cyngor Llyfrau Cymru: bydd Siân yn cynrychioli'r Grwp
Datblygu Gyrfa yn ystod y cyfarfod nesaf yn Aberystwyth ar 26ain
o Fehefin.
Cynllun Datblygu: oherwydd prinder amser nid oedd cyfle i'r
pwyllgor drafod y cynllun.
